Bookings & Tour Confirmation
You can make a payment through our online booking form via our website or through an approved travel agent. The person making the booking (hereinafter referred to as the ‘Lead Name’) must be 18 years old or over and possess the legal capacity and authority to make the booking and accepts these booking conditions on behalf of everyone in their party
You can pay by credit or debit card through your account portal. You can secure your booking with a deposit, or pay the total balance in full. Full payment must be submitted no later than four weeks (28 days) prior to tour beginning. For our Sri Lanka tour, full tour payment must be submitted six weeks (42 days) before the start of the tour. If full payment is not received four weeks (28 days) prior to your departure date (42 days in Sri Lanka) Backpacking Tours reserves the right to cancel the spot on tour.
Your safety is very important to us, you must advise us prior to booking any condition, medical or otherwise that may affect you or other people’s enjoyment.
All bookings must be confirmed by Backpacking Tours. A tour is confirmed with 5 or more group members. If the tour has not been confirmed 28 days before the starting date, the tour will be cancelled and you will be fully refunded or may apply your deposit to another tour date or another tour country. Tours are very rarely cancelled and generally, all tours are confirmed months in advance!
Date Changes & Floating Deposits
We understand that sometimes plans change. You may place your tour 'on hold' or switch to another tour. You will not be charged if your tour is unconfirmed. You may be charged a 20 GBP or equivalent. Please kindly contact us with your request at least 28 days prior to departure or the switch cannot be guaranteed.
"on-hold" means you are no longer assigned to any tour and your deposit is non-refundable.
If for any reason you need to cancel your trip, the normal cancellation & booking policy is applicable. You can not replace your original booking and deposit with another person; a friend, family member, or partner.
Cancellations & Refunds
If you need to cancel your booking you must do so in writing (by e-mail). Please note that for cancellation of an optional extra - including extra accommodation - no refund will be provided unless we are unable to provide the service purchased due to unforeseen circumstances. Refunds may take up to 30 days (maximum) to process and return to your account. If you cancel your booking, the following charges will apply:
- For cancellations received more than 28 days prior to departure, the deposit will be lost.
- For cancellations received less than 28 days prior to departure, full payment will be lost.
No cancellation fees will be waived as a result of the following:
- Injury or sickness
- Delayed, rescheduled or missed flights
- Climatic, social or political problems
- Pandemics, Epidemics, Bird flu, Swine flu, SARS, Leprosy, Shingles, Pink eye, or Rickets
However, you may be able to have any cancellation fees refunded by your Travel Insurance company – subject to their terms. Travel insurance is compulsory to join a tour.
Payments made in crypto will be refunded at the current exchange rate.
You will need to have Travel Insurance that covers you for your Backpacking Tours Limited tour. You must enter your travel insurance information in the login section at least four weeks (28 days) prior to departure.
Changes To Itinerary
Please take note: Accommodation and itinerary may change without notice.
Sometimes inclement weather affects the itinerary or something doesn’t go to plan, so we might have to change the itinerary. If due to circumstances beyond our control, we are unable to offer a particular activity included in the package, we will do our best to replace it with a different activity of equal or greater value. Please understand that in some situations, this is not possible.
Please note, accommodation may change from tour to tour depending on season, availability, and the total number of guests on a tour.
We’re afraid Backpacking Tours Limited will not be held responsible for any loss or theft of baggage or belongings. As a reminder, travel Insurance is compulsory for Backpacking Tours Limited. We have long standing relationships with all of our accommodation and transportation providers on all tours. Each option is vetted with security, comfort, and customer service in mind. We recommend taking some simple precautions such as bringing a padlock for your bags during times such as night trains, ferries, or overnight buses.
We know that everyone wants to have a good time. All we ask is that you agree to comply with the authority and decisions of the Backpacking Tours Limited crew and keep the tour experience a positive one for every group member. We reserve the right to ask anyone who is deliberately not complying, or causing trouble, to leave the group. In the event you are asked to leave the group, no refund will be given and you will have no claim against Backpacking Tours Limited. We ask that you respect the local culture on each of our tours (our fantastic local guides will make sure to inform you everything to keep in mind) and also respect your fellow travel companions.
Limitations of Liability
We cannot be held responsible for any loss as a result of failure of any third parties (including Airlines, Tour Operators & Hoteliers), however, we will give every reasonable assistance in helping you to resolve any dispute.
The responsibility of Backpacking Tours Limited as a Tour Operator is limited. We are not liable for any personal injury, death, damage, loss, accident or delay which may be occasioned either by reason of any defect in any vehicle, or through the acts of default of any company or person engaged in conveying you or carrying out the arrangements of the tour or otherwise in connection therewith.
Extra Activities & Accommodation
You can book extra trips and extra night's accommodation through the website. Extra accommodation must be paid no less than 28 days before the starting date of the tour. We reserve the right to ask you to leave the group if you fail to comply. Extra activities such as the Full Moon Party should be booked through your account under Extra Trips before the start of your tour. Please note that no refunds will be provided for cancelled optional extra activities or extra night's accommodation. In the event you are asked to leave the group, no refund will be given and you will have no claim against Backpacking Tours Limited.
Shared accommodation - dorm-style or otherwise with 3 or more group members - may be mixed gender unless requested.
When purchasing your tour with Backpacking Tours Limited, your financial details are passed through a secure server using the latest 128-bit SSL (secure sockets layer) encryption technology. 128-bit SSL and is the industry standard as trusted by international payment services such as Pay Pal (our payment portal of choice). Deals, Discounts & Promotions
Discounts, deals, vouchers, and promotions cannot be used in conjunction with any other offer.
Payments & Pricing
We may update the tour price periodically to reflect the exchange rate against GBP. Your remaining balance will remain fixed as will your paying currency. Please also note the paying currency cannot be changed from one to another after the deposit has been paid.
Your email address and personal information are safe with us and we will never share your information with anyone else or any third party.
Backpacking Tours Limited reserve the right to withdraw or change the terms of any special offers without notice.
